Abstract :

Operating rooms (ORs) are considered a significant revenue source, as well as the main source of waste and cost, among hospitals. The purpose of this project is to develop an inventory management system that allows budget management, consumable equipment and product expiration management, management of consignment items as well as exploiting work force in an optimal manner. Methodology & Theoretical Orientation: the project comprises of three main pillars: #1 pillar- Construction: dedicated zones were defined: Zone 1- safety-deposit area for keeping high cost items; Zone 2- storing ready-made kits of-which content has been defined and characterized by team leaders; Zone 3- where on one end kits are assembled as per patient&operation and on the other end remaining items after surgery are credited; and Open zone- area where OR kits and textile are stored. #2 pillar- Computerized: a tailor-made system was characterized and developed in parallel with the construction work. #3 pillar- Reorganization of workflow, e.g., collection and return of items by dedicated staff, item reporting scenarios. Findings: The project allowed operational efficient, financially efficient & budget management- approximately 15% savings. No additional budget was required alongside an increase in activity, none items were expired, and patient safety was maintained by allocating nursing resource for patient care and utilizing the logistic staff. Conclusion & Significance: The project was designed bottom-up and in a multidisciplinary fashion, allowing a contractual, processual and computational transformation to take place in parallel and a quick easy adoption by the teams. Poor inventory management, lack of data concerning consumable equipment and product expiration, lack of standardization and inefficient practices- all contribute to a system that is costly and ineffective. Tackling the above in a creative manner has proven to be highly rewording in terms of efficiency and savings, together with improving patient care.

Biography :

Dr. Dina Orkin is the Head of Sheba Medical Center’s Surgical Division which includes 39 operating rooms that execute 200 daily surgeries and procedures, the hospital’s 3D Lab and its Sterile Department. Dr. Orkin earned a specialty in Anesthesiology and for many years served in different roles including the Director of Pediatric Anesthesia unit in Shaarei Zedek Medical Center in Jerusalem, Head of Recovery Room Unit at Kaplan Medical Center and more. In addition to her clinical roles, Dr. Orkin takes an active part in preparing the next generation of Anesthesiologists, as an Examiner at the Israeli Board of Anesthesiology, and as counsellor, lecturer and tutor at different internship courses. She has taking this vast experience to improve the surgical outcomes and quality of life of hundreds of patients. Dr. Orkin is selected year after year as one of the best Anesthesiologists in Israel, as per Forbes magazine.
